Count the owner, cleaners and office staff before comparing team plans. A crew of two cleaners can mean two paid profiles or providers. Team scheduling, permissions and the next hire can also change the tier you need.

This is especially important for a company with a non-cleaning owner. “Five cleaners” can mean six people represented in an account before any office manager is added.

A workforce count that avoids surprise upgrades

Example business People needing individual profiles People performing services
Owner who cleans alone 1 1
Owner who cleans + 3 other cleaners 4 4
Non-cleaning owner + 3 cleaners 4 3
Non-cleaning owner + 5 cleaners + office manager 7 5
Non-cleaning owner + 10 cleaners 11 10

These are illustrative workforce definitions. They are not instructions to omit legitimate users. Use the vendor's specific charging and workforce rules for the account.

Provider allowances vs user bundles

For a non-cleaning owner with three cleaners, the published examples include BookingKoala Growing at $57 monthly, ZenMaid Pro at a calculated $81, Jobber Connect's five-user month-to-month bundle at $199 and HCP Essentials at $189 monthly. The feature sets differ and additional costs remain. This is a headcount illustration, not a quality ranking. BookingKoala pricing ZenMaid: How much does it cost? The right question is whether the functions you need exist on the priced tier. A cheap plan that lacks an essential, currently documented accounting connection is not necessarily a viable substitute.

Changing one member of a two-person crew

The normal schedule can conceal the operational difficulty. Two cleaners may work together every Tuesday until one is unavailable. Test whether the office can replace that person for one appointment without changing the whole repeating assignment.

HCP's documented scheduling workflow allows multiple employees on a job while its FAQ says persistent crew setup is not currently available. That is not the same as a blanket inability to schedule a pair. It tells you exactly what to investigate: repeated assignment work, substitutions and visibility. Housecall Pro scheduling FAQ

Across every finalist, ask each cleaner to open their own schedule, find the correct job instructions and identify which part of the assignment changed. Do not accept a dispatcher-only demonstration as proof that field access works for the team.

What cleaners and office staff can access

Write a simple role table before configuring accounts. The owner may need billing and exports. The office manager may need scheduling and customer communication. A cleaner may need only assigned jobs and relevant instructions. The exact permissions depend on the product and plan, so verify rather than assume.

Use fictional access notes during the evaluation. In production, protect property access information and limit it to authorized workers. Avoid sending door codes in a general reminder, an unprotected spreadsheet or a broad team message.

A staff departure should also be part of the test. Determine how access is removed while completed-job history and financial records remain available. Deleting useful history is not an acceptable substitute for disabling a login.

Route planning, location and time tracking

A map shows where the jobs are. Route grouping helps organize them. Drive-time optimization attempts a different operation. A clock-in record says something different from payroll processing or a legally sufficient timekeeping policy.

HCP's pricing separates route-related functions from MAX optimization. BookingKoala Growing and ZenMaid Pro list GPS-related capabilities in their public tier descriptions. Those facts identify functions to evaluate, not a guarantee about accuracy, battery use or employee acceptance. Housecall Pro pricing BookingKoala pricing ZenMaid pricing

Demonstrate the requirement you have: dispatching nearby jobs, documenting arrival or calculating payable hours. Do not buy a broader label when a narrower function is enough.

Price the next real staffing change

For each finalist, write down the present bill and the bill after the next planned hire. In a per-profile model the increase may be incremental. In a bundle model a boundary may change the subscription more abruptly. Neither model is automatically unfair; it simply needs to be understood before choosing.

Use a six-month forecast based on actual hiring plans rather than theoretical rapid expansion. Buying a large package today for a team that does not yet exist can waste cash; ignoring a hire scheduled next week can make a starting-price comparison misleading.

Count the people accurately, identify the three required workflows, eliminate plans that fail those requirements, and test a substitution plus a recurring-job exception. Then compare the complete bill.

The cost calculator makes the published headcount math reproducible. The trial checklist makes the operational comparison fair. Together they are more useful than selecting a platform from an undefined “best for teams” badge.

Unlimited-user plans and their feature limits

Launch27, Maidily and paid ServiceM8 plans advertise unlimited user access under their respective pricing structures. The job quantity and required tier can still change the bill. Maidily in particular gates team-scheduling functions separately from the unlimited-profile headline. Launch27 pricing Maidily pricing and plan matrix ServiceM8 USA pricing
