These entry amounts are not equivalent feature packages. They exclude taxes, usage, processing and implementation unless expressly stated. The free options have restrictive capacities or capability boundaries; the quotation-based option is not entered into price ordering as a flat plan.
The useful count can be a user profile, service provider, scheduled appointment or new job card. A two-person crew is not automatically one billable person. A weekly customer is not one appointment a month. The cost calculator makes those units explicit.
Team access, phones, accounting and billing commitments
A flat user price does not guarantee the team features are included. Maidily advertises unlimited users but gates particular team functions to higher plans. An integration label is not a complete sync contract. ZenMaid's inspected page still labels QBO coming soon. Launch27 publishes a generic QuickBooks label. Monthly payment is not necessarily monthly flexibility. Jobber distinguishes month-to-month payments, monthly payments with a year-long commitment and annual prepayment. A saving calculation that mixes those arrangements can be wrong before any software is used. Jobber pricing
Build a three-requirement shortlist
Write three outcomes that can pass or fail. Examples are: a customer can request the intended recurring service; the office can move only one visit; and the invoice reaches the designated accounting workflow without duplicate entry.
Avoid requirements such as “easy,” “all-in-one,” or “AI-powered” without a defined action. A product can earn those marketing labels while failing the one operation your business needs.
Eliminate a known mismatch before assigning importance to price. An unsupported device, an unavailable current integration or the wrong booking promise can be decisive. Do not purchase a future roadmap as though it were already delivered.
When to keep your current system
A new subscription is not automatically progress. If the current workflow is dependable and a lower-tier alternative saves little after migration, keeping it can be the correct decision.
The switching calculator separates one-time cash, parallel running, staff time and recurring savings. It returns no payback when the assumed savings are not positive. It does not invent new bookings, time saved or contract refunds.
A business starting from a manual calendar should make the same decision in reverse: buy software when it solves a recurring failure or necessary function—not because every company is supposed to have a larger stack.
