These examples assume one owner and the stated number of additional cleaner profiles, with no extra office staff. Add the office manager if one is needed. A team lead is not automatically a free profile because their title differs from “cleaner.”
For example, an owner plus three cleaners uses four profiles. On Pro, the calculation is $39 + 3 × $14 = $81 monthly. Adding a separate office manager makes five profiles and $95 monthly. These are subscription calculations, not all-in business costs.

Starter: 40 appointments a month
Starter is limited to 40 appointments per month. A small customer count can still exceed that limit when customers book frequently. ZenMaid pricing
Nine customers receiving one visit each week create 36 appointments in a four-occurrence month but 45 in a five-occurrence month. That example assumes all nine use a weekday that occurs five times. It explains why “nine customers” is not a reliable capacity rule.
Use the appointment calculator with actual dates. It counts scheduled occurrences, not the vendor's final billable usage definition. Confirm treatment of canceled jobs, test appointments and other edge cases inside your account before operating close to a hard cap.
Pro: checklists, GPS and booking forms

Try a weekly customer and a biweekly customer who sometimes share a morning. Move one occurrence, replace an assigned cleaner and inspect later appointments. Note any manual corrections you need to make.
Pro Max: availability, exports and unbranded forms
The difference between Pro and Pro Max grows with the team. Under the published formula, Pro Max adds $10 to the base and $10 for each additional profile compared with Pro. With one owner and three cleaners, the difference is $40 per month, or a calculated $480 per year.
Published Pro Max distinctions include unbranded booking forms, cleaner availability/PTO, service ratings and data export. Check the exact capability that motivates the upgrade. Treat export access as a purchasing question before importing live data. A plan-level export feature is not the same question as legal ownership of records, and this guide does not claim lower-tier customers have no exit rights. Establish the operational export process and any charge in writing.
SMS is purchased separately
ZenMaid's cost article says SMS bundles start at $14 for 125 messages and that purchase frequency depends on usage. This is not necessarily a recurring $14 monthly fee, and larger-volume pricing can differ. ZenMaid: How much does it cost?
Do not estimate SMS spending from customer reminders alone. Include relevant staff notifications, confirmations and reschedule messages. Preview a real template with a long customer name and service address. The SMS worksheet helps separate message volume from a vendor's charging unit.
Booking forms and QuickBooks availability
ZenMaid documents booking-form setup, including service and pricing configuration. That establishes the existence of a configurable form, not proof that every preferred time selected by a customer becomes a conflict-free recurring series. Appointment imports require a paid account
ZenMaid documents concierge import for customer and schedule information. Its June 2026 import article states that appointment import is for paying users and that manual bulk import is not currently available. That matters when the planned trial depends on importing your entire live calendar for free. ZenMaid data import
Start with fictional appointments to evaluate behavior. Plan the real migration separately, with a future-booking reconciliation and a defined point when the old system stops sending messages. Do not cancel the old account just because contacts appeared in the new one.
Which ZenMaid plan to choose
Evaluate Starter only when its capacity and available functions fit. Evaluate Pro when recurring operations, additional scheduling functions or appointment volume justify it. Choose Pro Max only for a demonstrated higher-tier requirement that survives the per-profile calculation.
