The useful starting calculation is therefore people who perform services, not number of crews. An owner plus four cleaners is five providers if the owner cleans, but four providers if the owner only manages. Office access still needs to be configured appropriately; provider-based pricing does not mean role permissions can be ignored.

Starter vs Growing: SMS, GPS and more providers

Growing is the first plan to examine when SMS notifications, provider GPS/clocking or the larger provider allowance is required. The monthly subscription difference is $30. That is a calculated $360 over twelve months, assuming those public starting prices remain unchanged. Do not compare the difference with imaginary revenue. Compare it with the concrete function the business needs.

A relevant question is not “Is $30 expensive?” It is “What currently goes wrong because this function is missing?” If email is already sufficient, paying for SMS might not solve anything. If provider arrival verification is operationally important, test that specific workflow and the employee-facing permissions before buying.

SMS requires a separate Twilio account

Premium: forms, campaigns and checklists

Make an upgrade case in ordinary language. “Our form needs this specific conditional journey” is a testable requirement. “Premium is more professional” is not. Similarly, a campaign system only helps if there is a useful message, an appropriate audience and a reason to maintain the workflow.

Try a booking, an extra task and a schedule change

Prepare a fictional service with a base price, a longer first visit, an oven add-on and a restricted service area. Set the intended availability before opening the customer form. Then book a job as a customer who has never seen your internal process.

The customer should understand what is included, what costs extra, when the team is expected and whether the submitted date is confirmed. A business should not display an apparently confirmed slot when it still needs a staff member to check whether anyone is available.

After booking, move only the next visit. Inspect the customer’s message, the provider’s schedule and subsequent dates. Repeat with a cleaner who becomes unavailable.

Existing website and migration

Keep the website move separate from the scheduling move. An existing website with functioning search traffic does not need to be replaced merely because a booking system includes a site builder. Test the embedded or linked booking route first. The work being purchased is reliable booking—not an unnecessary redesign.

QuickBooks and trial terms to confirm

A current native QuickBooks Online connection has not been verified for BookingKoala in this research.
