ZenMaid is worth considering for a recurring cleaning calendar. Housecall Pro is a broader option when job management, invoices and a current QuickBooks connection belong in the same system.

A small company can need a sophisticated accounting connection. A larger company can have a simple service model. Count requirements before assigning the company to a brand.

Public monthly examples

People represented ZenMaid Pro Housecall Pro public example
Owner only $39 $79 Basic; functions differ
Owner + 3 cleaners $81 $189 Essentials, up to five users
Owner + 5 cleaners $109 $329 MAX, up to eight users
Owner + 10 cleaners $179 $434 MAX with three extra users

These are calculated subscriptions using published monthly plan rules, not negotiated quotations or feature-equivalent pairs. ZenMaid bills additional active profiles after the owner; Housecall Pro uses the listed bundles, with a published extra-user figure on MAX. Office staff change the counts. The six-user MAX example does not claim that no other commercial quotation can exist. It identifies the public bundle used in this model. Price the actual order before committing.

QuickBooks availability

ZenMaid's inspected pricing page labels QuickBooks integration coming soon. Housecall Pro publishes QBO connectivity on Essentials and has documentation covering ongoing sync limitations. A buyer requiring that native connection now has a clearer documented path through HCP. ZenMaid pricing Housecall Pro QuickBooks Online sync

The relevant question is not whether software includes invoicing. Invoicing inside an operating platform and keeping the accounting ledger reconciled are separate tasks. An owner can intentionally use a manual process at a small volume, but should not discover that need only after moving the calendar.

If another product is required for a cleaner QBO fit, expand the shortlist rather than assuming these two are the only options. The accounting guide includes the expanded market coverage.

Recurring calendar versus recurring agreement

For a weekly clean billed after each completed visit, the system should distinguish a skipped date from ending the whole relationship. For a fixed monthly package, the financial result can be different because the agreement is different.

ZenMaid documents recurring availability tools. Housecall Pro separately describes recurring-job handling and Service Plans. Neither label should replace a written rule about the customer's service and billing. ZenMaid Spot Finder Housecall Pro scheduling FAQ

A two-person team also deserves accurate representation. Assigning two employees to one job, maintaining a named permanent crew and replacing one person for one visit are related but distinct operations. HCP's scheduling FAQ supports multiple employees on a job while identifying a limitation around persistent crew setup in the documented workflow. That is not “cannot schedule a cleaning team.” Housecall Pro scheduling FAQ

Reminder setup and message costs

ZenMaid documents separately purchased message bundles. HCP documents configured job reminders and a business texting setup. Treat the applicable credits, number/setup and usage as their own cost lines rather than assuming a subscription price covers every message. ZenMaid: How much does it cost? Housecall Pro SMS job reminders

A cleaner receiving the next day's job list is different from a customer changing an appointment through a reply. The business needs both a trigger and an owner for the reply. A reminder that creates an unmonitored conversation is not complete automation.

Use the message templates and event map to define what should be sent, replaced or suppressed after a schedule change.

When paying more can be reasonable

For the four-person examples above, the subscription gap is $108 per month. At an assumed $30 per hour of relevant administrative time, the time-equivalent threshold is 3.6 hours monthly. That is a decision threshold—not a claim HCP saves that time.

If the additional functions eliminate work the business genuinely performs, the premium can be reasonable. If those functions are unused, the lower-cost qualifying system can be preferable. Keep cash savings separate from released owner time in the switching calculator.

Which one fits your business?

Choose a ZenMaid-first evaluation for the cleaning-calendar requirement when its active-profile bill fits and no unverified current integration is mandatory. Choose an HCP-first evaluation for the documented broader workflow when that benefit justifies the total price.
